Position Overview

We are seeking a dedicated and organized Administrative Assistant to join our team. The ideal candidate will play a vital role in ensuring the smooth operation of our performance venue. This position involves a variety of administrative tasks, including box office sales, volunteer recognition and general support for the Executive Director and Audience Services Manager. The ideal candidate is self-motivated, comfortable working independently and a collaborative team member. Hours are variable and will average 20 hours per week.

Duties

  • Financial
    • Collate settlements and invoices for approval
    • Collate banking deposit for approval
    • Manage petty cash
  • Administrative
    • Provide administrative support for the Executive Director and the Audience Services Manager
    • Ensure electronic and hard copy performance files are complete and consistent
    • Update brochures
    • Manage deliveries and lost and found
  • Box Office
    • Train on all Box Office systems and processes
    • Sell show tickets
    • Cover for Audience Services Manager when necessary
    • Through TixHub generate Show reports for the Executive Director
  • Volunteers
    • Oversee Front of House communications and coordination
    • Oversee volunteer recognition program
    • Support Audience Services Manager with volunteer training
  • Board of Directors
    • Provide administrative support to the Board Chair
    • Assist with the preparation and distribution of Board meeting agendas and booking of board meetings
    • Provide administrative support for Board sub-committees
    • Routine correspondence relating to donations and issuance of tax receipts
    • Corporate record keeping of foundational documents, approved policies
    • Board meeting records; and submissions to other levels of government
