We are seeking a detail-oriented and highly organized individual to join our vibrant media company as an Administrative Coordinator for the summer. This position offers a unique opportunity to gain valuable experience in a fast-paced media environment. As an Administrative Coordinator, you will play a crucial role in supporting our team by ensuring the smooth day-to-day operations of the office and providing administrative assistance to various departments. This is a temporary summer position that will provide exposure to the media industry and an opportunity to develop essential administrative skills.

Responsibilities:
General Office Support:
  • Assist in managing company communications, answering emails and coordinating conference calls.
  • Maintain office supplies inventory and place orders as needed.
  • Ensure the office is clean, organized, and conducive to a productive work environment.
Administrative Assistance:
  • Provide administrative support to various departments, including scheduling meetings, coordinating calendars, and managing travel arrangements.
  • Assist in preparing documents, presentations, and reports using Microsoft Office Suite or other relevant software.
  • Help maintain electronic and physical filing systems, ensuring accurate and timely retrieval of information.
Communication and Coordination:
  • Act as a liaison between different teams and departments, ensuring effective communication and information flow.
  • Assist in coordinating internal and external meetings, conferences, and events.
  • Help distribute internal communications, including memos, announcements, and other company-wide updates.
Data Entry and Record Keeping:
  • Accurately enter data into relevant databases or systems, ensuring data integrity and confidentiality.
  • Assist in maintaining records, files, and documentation, both electronically and in hard copy.
  • Support data analysis and reporting efforts by gathering and organizing information as needed.
Special Projects:
  • Collaborate with team members on various special projects as assigned, providing administrative support and contributing to project success.
  • Assist marketing manager with creating content for social media, pitch decks and funding applications.
Qualifications:
  • Currently enrolled in a college or university program (preferably in a related field such as business administration, communications, or media studies).
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.
  • Excellent verbal and written communication skills.
  • Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable learning new software tools.
  • Attention to detail and a commitment to maintaining accuracy.
  • Ability to work independently as well as in a team-oriented environment.
  • Professional and positive attitude with a willingness to take on new challenges.
  • Prior experience in an administrative or office support role is a plus.
Duration and Compensation:

This is a temporary summer position for approximately 8 weeks.

Compensation will be commensurate with experience and will be discussed during the interview process.
